How to Auto-Generate Certificates From Youform

Prerequisites

Before you start, make sure you have:

• A CertFusion account with at least one certificate template (you can duplicate an existing design).
• A Youform account with a published form that collects, at minimum, a name and an email address. Add any custom fields you want on the certificate, such as a Course field.
• Permission to generate a Youform API token (found in your Youform account settings).

Step 1 — Open your certificate template's Recipients tab

In CertFusion, go to Certificate Templates and open the template you want to issue — in the video we use a duplicated "Copy of certificate." Click the Recipients tab. If it's a fresh template, you'll see "No recipients yet."

Step 2 — Start the Youform integration

Click Add Recipients. CertFusion will show that Youform is not connected yet. Click Setup Youform Integration to begin connecting your account.

Step 3 — Generate your Youform API token

On the Manage Integrations screen, CertFusion asks for your Youform API token. Click Open Youform Account Settings to jump to Youform.

In Youform, go to API Tokens, click Create New Token, give it a recognizable name (for example, certfusion), and copy the token. Youform only shows the full token once, so copy it immediately.

Step 4 — Connect Youform to CertFusion

Back in CertFusion's Connect to Youform dialog, paste the token into the API Token field and click Connect. You'll see "Youform account connected successfully," and Youform will now appear as Active in your integrations list alongside Zoom, Webex, Typeform, and Tally.

Step 5 — Choose Youform as your recipient source

Return to your certificate template's Recipients tab and click Add Recipients again. This time, under Connect Integrations, open the Choose dropdown and select Youform. This opens the Youform to Certificates panel, where you'll see "Connected to Youform," a Select Form dropdown, and a Configure Webhook button. Pick the Youform form you want to use.

Step 6 — Map your form fields and configure the webhook

Click Configure Webhook. In Webhook Configuration, map your Youform questions to certificate data:

• Name (required) → your form's name question.
• Email (required) → your form's email field.
• Custom fields (optional) → for example, map a Course field to personalize each certificate.

The Auto Issue toggle controls what happens on submission. Turn it on to automatically generate and email the certificate the moment someone submits. Leave it off to add recipients as Pending so you can review and issue them manually. Click Save Configuration — CertFusion is now listening for new submissions.

Step 7 — Test it with a live submission

Open your live Youform form and complete it like a real attendee: enter an email, a name, and the course. Submit the form. The submission is sent straight to CertFusion through the webhook you just configured.

Step 8 — Confirm the recipient was created

Back in CertFusion, open the Recipients tab and click refresh. Your new recipient appears automatically, created from the form submission — with a status of Pending (or Issued, if Auto Issue was on). Open Edit on the recipient to confirm the name, email, and custom Course field were pulled directly from the submission.

That's the whole loop: one form submission in, one ready-to-deliver certificate out — automatically, every time.

FAQ

Do I need to map every Youform field? No. Only name and email are required. Custom fields like Course are optional and used to personalize the certificate.

What's the difference between Auto Issue on and off? With Auto Issue on, certificates are generated and emailed instantly on submission. With it off, submissions are added as Pending recipients so you can review them and issue manually.

Will old submissions be imported? The webhook processes new submissions from the moment it's configured. Set up the integration before your form goes live to capture every entry.

Can I use the same Youform account for multiple certificate templates? Yes. Once Youform is connected, you can configure a webhook per template and select a different form for each.

Is my Youform API token safe to paste into CertFusion? Yes — the token authorizes CertFusion to receive submissions from your account. Name it clearly (e.g. certfusion) so you can revoke it from Youform anytime.
